We are hiring for an Operations Executive Administrative/Project Assistant role with a well-established 20-year insurance industry solutions provider based in Downers Grove, IL. About the Role: As an Operations Executive Administrative/Project Assistant, you will play a crucial role in supporting daily operations across our offices in Downers Grove, IL and Dyer, IN. You will provide high-level administrative support to C-level executives, ensuring office efficiency and acting as the main point of contact. Key Responsibilities: Work remotely 2 days per week; 3 days in our Downers Grove office Manage executive calendars, schedule meetings, and coordinate travel arrangements Handle correspondence, conduct research, and prepare reports Arrange conference calls, develop itineraries, and coordinate meeting logistics Order office supplies and manage office inventory Front desk duties including welcoming guests, answering phones, and sorting mail Assist in organizing corporate events, sales conferences, and trade shows across the US Support VP Operations in maintaining company standards and procedures Maintain confidentiality with sensitive executive communications Requirements: Associate or Bachelor’s degree OR 2+ years of administrative/executive assistant experience Proficiency in MS Outlook, Word, Excel, and PowerPoint Experience with ASANA, HUBSPOT, or similar CRM systems Proactive self-starter with strong problem-solving and time management skills Ability to work independently and as part of a team in a fast-paced environment Benefits: Competitive salary with 401K match Paid Time Off (PTO) 100% paid benefits If you are interested in learning more about this opportunity, please let us know your availability for a brief exploratory call.
